1. Who operates FileFy
FileFy is operated by Olexar Group, referred to in this policy as “FileFy”, “we”, “us”, or “our”.
Questions, requests, or privacy complaints can be sent to [email protected] .
2. Information we process
FileFy processes only the information reasonably needed to provide, secure, and maintain the conversion service. This may include:
- The contents of files you choose to upload.
- File metadata such as the filename, extension, declared size, selected output format, and generated output filename.
- Randomly generated upload and job identifiers, conversion status, progress, timestamps, output size, and technical error information.
- Technical request information normally sent by a browser, such as an IP address, request time, browser or device information, and request headers. Hosting and security systems may process this information in operational logs.
- Information you voluntarily provide if you contact us about a question, complaint, or support request.
FileFy does not require an account and does not ask for your name as part of the normal conversion process. However, a filename or the contents of a file may contain personal information.
3. How we use information
We process information to:
- Receive, assemble, inspect, and convert the file you submit.
- Provide conversion progress and make the temporary result available for download.
- Protect the service, investigate abuse, and prevent unauthorised or unsafe use.
- Diagnose failures, maintain availability, and improve reliability.
- Respond to requests or comply with applicable legal obligations.
Uploaded file contents are not used for advertising, profiling, or training artificial intelligence models.
4. Temporary storage and deletion
Uploaded input files
Uploaded input file contents and upload chunks are stored temporarily while the upload and conversion are being completed. The input is scheduled for deletion after processing finishes, whether the conversion succeeds or fails.
If an upload is abandoned or interrupted, its temporary contents are scheduled for cleanup after approximately 24 hours without upload activity.
Converted output files
A successfully converted output is available for between 3 and 10 minutes after conversion completes. The exact period is based on current storage use when the result is created. Once assigned, that period is not shortened if storage use later increases. The output is expired and scheduled for automatic deletion when its assigned period ends.
No file archive or backup
FileFy does not intentionally archive uploaded or converted file contents and does not create backup copies of those file contents. Deleted or expired files cannot be restored by FileFy. You must keep your own copy of any original or converted file you need.
Operational metadata
Limited operational records may remain after file contents are deleted. These records may include job identifiers, filenames, formats, status, timestamps, sizes, and error information. They do not include the uploaded or converted file contents.
Operational records are used only for operating, securing, diagnosing, and complying with legal requirements relating to the service. Avoid including sensitive personal information in filenames.
Deletion may occasionally be delayed by a temporary technical failure. The cleanup process retries removal when this occurs.
5. Job IDs and result links
Each upload and conversion receives a randomly generated identifier. FileFy also applies measures intended to reduce unintended disclosure, including no-index, no-referrer, and no-store directives on result and API responses.
A job or result URL is a capability link, not a password or user account. Anyone who obtains the full URL may be able to view job information and download the converted file while it remains active.
You are responsible for deciding whether, how, and with whom you share a result link. FileFy cannot control a link or file after you share it, and cannot delete copies downloaded by another person.
6. When information may be disclosed
FileFy does not sell personal information. Information may be disclosed only when reasonably necessary:
- To hosting, infrastructure, or security providers that help operate the service.
- To comply with a valid legal request or applicable law.
- To investigate fraud, abuse, security incidents, or threats to users or the service.
- As part of a business reorganisation, acquisition, or transfer, subject to appropriate safeguards.
Depending on where the service and its infrastructure providers operate, technical or operational information may be processed in another country.
7. Cookies and analytics
The current FileFy application does not require account cookies and does not include third-party advertising or analytics scripts. Hosting or security providers may still use essential technical mechanisms or request logs to deliver and protect the service.
8. Security
FileFy uses technical measures intended to protect temporary files and job links, including random identifiers, restricted routes, browser security headers, no-store responses, and automatic deletion.
No internet service can guarantee absolute security. Do not upload a file if the consequences of temporary processing or unauthorised disclosure would be unacceptable to you.
9. Your privacy rights
Depending on your location, you may have rights to ask for access to, correction of, or deletion of personal information, or to object to or restrict certain processing.
Send requests to [email protected] . Include enough information to identify the relevant job, but do not email us a copy of the file itself. We may need to verify that you are authorised to make the request.
Because file contents are deleted automatically and are not backed up, we may no longer possess the file by the time we receive a request.
You may also complain to the privacy or data-protection regulator that applies in your location.
10. Children and young people
FileFy is a general-purpose file conversion service and is not designed to collect information from children. If local law requires permission from a parent or guardian to use the service, you must obtain that permission before uploading a file.
11. Changes to this policy
We may update this policy when the service, its file handling, or applicable legal requirements change. The effective date at the top of this page will be updated when a revised policy is published.
